- 1 FINANCIAL ACCOUNTS
-
- 1.1 Introduction
-
- Financial Account V1 is an accounts program for the Amiga. It was made for
- all you Amiga owning people to keep track of all your spending and much
- more ! With Financial Accounts you can set up regular transactions (direct
- debits), a budget, and keep track of your investments. Financial Accounts
- can also be used to help run a small business by using its VAT features.
- Input and output VAT reports can easily be obtained.
-
- On the disk are some sample files for you to look at so you can see how
- its all done. The sample files are either what I've made up or what I've
- entered from other accounts programs to compare results, etc.
-
- 1.2 Features
-
- All of the below features are available on any amiga with 1mb or more:

- . Up to 100 Accounts, Markers, Transaction Types and VAT Codes
- . Up to 100 Investments, Regular Transaction and Budget entries

- 1.3 Limitations
-
- Financial accounts is capable of handling very large amounts of money.
- Unfortunately there is a limit. If a balance exceeds +/- 21474836.47 then
- very incorrect readings will be given. For example, if you credit a value,
- and the total value exceeds the limit, the result is a negative number of no
- meaning at all. This happens when calculating balances, budgets and
- investments.
-
- Unfortunately, the error appears to go unnoticed in most situations, so the
- final balance may be incorrect. Reports will sometimes display <overflow>
- instead of the actual value. Just make sure that no calculations exceed the
- extremely large limit, which is unlikely.
-
- 1.4 Concepts
-
- The text contained in this document file may refer to terms that
- unexperienced users may be unfamiliar with. Please read the following
- before you continue:
-
- RMB Right mouse button
- LMB Left mouse button
- Point To use the mouse to move the pointer over an object
- Click To press the left mouse button on an object
- Double Click To quickly click the left mouse button twice
- Enterbox A box where text & numbers are entered
- Tickbox Toggle this box on or off by clicking on it
- Select To click on an entry so it is highlighted
- De-Select To click on an entry so it is not highlighted
- Activate To click inside an enterbox so that text can be entered
- Menu Located at the top of the screen by holding down the RMB

- 2 GETTING STARTED
-
- 2.1 Starting & Installing
-
- To use Financial Accounts V1, you need an Amiga with at least 1mb of memory
- and a disk drive. A standard A500 runs the program with sufficient speed,
- and on an A1200 with a HD, the program runs like magic.
-
- Floppy Disk Users
-
- To run the program, simply slip the disk into your machine and the disk will
- boot into workbench. Double click on the FinAccV1 disk icon a window will
- open displaying the what is on the disk. Double click on FinAccV1, and the
- program will load.
-
- Hard Drive Users
-
- Installing the program couldn't be much easier. Simply insert the disk and
- double click on the FinAccV1 disk icon. Then double click on the InstallFA
- icon and follow on screen instructions. Further details on installing the
- program can be found in the "ReadMe" file contained on this disk.
-
- 2.2 Creating A New File
-
- To create a new file, select "New File" from the project menu. If there
- is a file already open, you will be asked if you wish to continue.
-
- A window will then appear asking you to select the start of the financial
- year. This is just a start point for all the balance calculations and the
- like. Usually you just enter the current month and year.
-
- You will then be asked if you want to use the set up from another file.
- If you choose to do so, the file selector will pop up asking you to select
- a file to load the set up from. All the data from that file will then be
- loaded into your new file for use, except of course the transactions.
-
- The file requester then appears asking for you to type in the filename to
- save the file as. Remember to locate an appropriate path. (I recommend that
- floppy disk users should use a blank disk for there new file instead of the
- program disk because of the limited disk space available).
-
- If you requested the use of the set up from another file, and that file had
- regular transactions in, the regular transactions will be updated to the
- file and the file will be re-saved.
-
- 2.3 Loading A File
-
- To load a Financial Accounts file, select "Open File" from the project
- menu. If there is a file already open, you'll be asked if you wish
- to continue.
-
- The file requester will appear asking you to select a file to load. The
- file should end with .FA which signifies that it is a Financial Accounts
- file.
-
- If the file you select had any regular transactions, they will be
- automatically be updated to the present day. If you don't have a battery
- backed clock, then the system date will have to be manually updated before
- the regular transactions can work properly.
-
- When the regular transactions are updated, make sure the file is saved
- before you have finished so that next time the file is loaded, Financial
- Accounts knows when they were last updated. If the file isn't saved after
- the regular transactions are updated, they will be re-updated next time the
- file is loaded, so you'll have double entries !
-
- 2.4 Saving A File
-
- If you have a file open, at some point you'll want to save it. To do this,
- select "Save File" from the project menu. The file will be saved under the
- current project name.
-
- 2.5 Closing A File
-
- If you are finished with your file, you can close it by selecting
- "Close File" from the project menu. Quitting Financial Accounts, loading
- or creating another file closes the current file automatically.
-
- 2.6 Quitting
-
- To quit Financial Accounts, choose "Quit" from the project menu. If you
- have a file open, you'll be asked if your sure. Make sure the file is
- saved before you quit.
-
- 3 USING SCREENS AND WINDOWS
-
- 3.1 The Main Display
-
- The main display contains all the icons and menus for accessing the main
- functions of Financial Accounts. The screen has a screen title/menu bar
- which contains various menus:
-
- Project Contains various program facilities
- Edit Contains editing facilities for the data display window
- Set Up The set up window can be accessed from here
- Mode This determines the mode of the data display window
- System Contains various preferences and set up options
- Reports Various reports can be obtained from here
-
- Below the menu bar is a row of eight icons. The left four icons open the
- set up window relevant to the icon chosen. The right four icons change the
- mode of the data display window relevant to the icon chosen.
-
- Below this row of icons are two windows. The window on the left is the
- reference window, and the window on the right determined what data is shown
- in the reference window. The data displayed here is used for the more
- forgetful of us to refer to while entering data.
-
- Below the reference window is an information box. The following information
- is shown:
-
- Current Acc The account that is currently selected
- Opening Bal The opening balance of the current account
- Account Bal The current balance of the current account
- Current Month The month that is currently selected in the current account
- M/A Entries Entries in the current month, account and the total number
- of entries that you can have in an account, ie 12000.
- Status Shows the current program status
-
- Below the information box are another set of icons and they all refer to
- the data display window.
-
- Add Add an entry to the mode currently selected
- Edit Edit the selected entry
- Delete Delete the selected entry
- Cut Cut the selected entry
- Copy Copy the selected entry
- Paste Pastes the entry currently held in memory for that mode
-
- A Select an account to open/view/edit
- M Select a month to open/view/edit
-

- > Forward 1 entry

- Below these icons is the actual data display window. This window contains
- the data relevant to the currently selected mode.
-
- 3.2 The File Requester
-
- When choosing files to load, save and the like, the file requester is used
- as an easy alternative to typing in the device, path, and file name. The
- Financial Accounts file requester is fairly standard and is made up of
- several components:
-
- The display box Contains all the devices, directories and files
- Path enterbox Shows the current device and path
- File enterbox Shows the currently selected file
-
- The path and file can be altered manually simply by clicking in the relevant
- box. The file enterbox is automatically activated when the file requester
- is opened.
-
- There are also icons for navigating around the currently selected device:
-
- Devices Shows a list of all the available devices to select from
- Parent Goes to the previous directory or path
- Get Dir Updates the current directory listing
- CD Sets the current path to the path shown in the path box
- Sort Sorts any data in the display box into alphabetical order
- OK Choose this when the file has been selected
- Cancel This will cancel the file requester
-
- Pressing return in the path box will read the directory of the path that
- is contained in the that box. Pressing return in the file box is the same
- as clicking on OK. The same effect is achieved by double clicking on the
- file you want.
-
- 3.3 The Editor
-
- This window is used for entering all data into Financial Accounts. When
- an editor window is opened, you are presented with several enterboxes and
- icons.
-
- All editor windows contain the following icons:
-
- Add Add another entry
- Auto Add When you reach the last enterbox and press return, the data
- in the window will automatically clear ready for you to
- add another entry.
- Cancel Cancels the current entry and closes the edit window
- OK Okays the current entry and closes the edit window
-
- If the edit window was opened by selecting to "Add" an entry, then "AutoAdd"
- will automatically be selected. However, if the edit window was opened by
- selecting to "Edit" an entry, "Auto Add" will be de-selected. While you are
- editing, the "Auto Add" can of cause be switched on and off.
-
- You can jump around the enterboxes by using the cursor keys or clicking in
- the one you want with the left mouse button.
-
- 3.4 The Set Up Window
-
- The set-up window is used for adding, editing and deleting Accounts, Markers,
- Transaction Types and VAT Codes. It is activated by choosing one of the four
- icons located at the top left hand side of the screen.
-
- Description of icons:
-
- Add Open the edit window for whatever you have selected to set-up
- Edit Same as above but the edit window displays the selected entry data
- Delete This deletes any selected entries
- All This selects all of the entries
- Clear This de-selects all of the entries
- Done ! Use this when you have finished with the set up window
-
- To select more than one entry at a time, hold down the shift key while
- selecting the required entries.
-
- Please note that the set up window doesn't have to be closed and re-opened
- to go from setting up accounts to say, setting up markers. The window data
- is updated automatically when a different set up icon is clicked on.
-
- 3.5 Data Display Window
-
- The data display window displays all the entries relevant to the currently
- selected mode. Unlike the set up window, only one entry can be selected at
- a time.
-
- The data display window cannot be wide or tall enough to view all of the
- entry data at once, so a horizontal and vertical scroll bar have been
- included so that all of the data can be viewed.
-
- 3.6 Reference Window
-
- The reference window is used to give a reminder of Account codes, Marker
- codes, Transaction Type codes and VAT codes when entering data.
-
- 3.7 Budget Calculation Window
-
- This window can be accessed while the budget entry edit window is open.
- This window allows you to send certain values back to the editor according
- to what has been entered.
-
- Start month Where the calculation starts
- End month Where the calculation ends
- Start value This is the value that all the calculations refer to
- Inc/Dec value This is the value that the start value is increased or
- decreased by each month. Click the % tickbox if it is a
- percentage.
- Divide over
- months This will cause the start value to be divided over the
- selected range of months.
- Add value This will add the inc/dec value every month over the
- selected range of months.
- Subtract value This will subtract the inc/dec value every month over the
- selected range of months.

- Click OK and the values will be returned to the editor. If the numbers go
- negative, that value will be returned as zero because negative numbers are
- not allowed in the budget.
-
- 3.8 Search Window
-
- The search window allows you to search through the data in the data display
- window for what is specified in the search window. The search is not case
- sensitive, and looks IN the data, instead of doing a direct comparison.
-
- eg Search for COM
-
- Data found COMPUTER
- COMMUNICATOR
- COMPACT DISC
-
- However, when searching for a debit/credit amount or balance in transactions,
- the actual amount must be exactly the same.
-
- Description of icons:
-
- Find Starts the search from the start
- Find Next Starts the search from the previous find
- Find Prev Searches backwards from the previous find
- Done ! Closes the search window
-
- Hit return to repeat last search option.
-
- 4 SETTING UP
-
- 4.1 Accounts
-
- To set up some accounts, click on the Accounts icon and the set up window
- will appear. Select add or edit as appropriate.
-
- You will be asked for the following:
-
- Account Name Type the name of the account, eg Barclay Card
- Account Number Some accounts have numbers. If it does, put it here
- Account Code This is up to you. It is best to put the initials of the
- account name, eg BC would fit the account name shown above.
- Account Type Cash, Cheque, Credit Card or Savings. This is only for your
- reference and doesn't effect how the account is handled.
- Start Balance Here you type the opening balance of the account
- Cheque Number Current cheque number for the account, if applicable

- 4.2 Markers
-
- To set up markers, click on the Markers icon and the set up window will
- appear. Select add or edit as appropriate.
-
- You will be asked for the following:
-
- Marker Ref Type the reference of the marker here, eg Fred Flintstone
- Marker Code Type the code that fits the reference best, eg FF would fit
- the marker reference shown above.
-
- 4.3 Transaction Types
-
- To set up transaction types, click on the T. Types icon and the set up
- window will appear. Select add or edit as appropriate.
-
- You will be asked for the following:
-
- Type Ref Type the reference of the transaction type, eg Magazines
- Type Code Type the code most appropriate to the reference, eg MAGS
- would fit the example reference shown above.
- Type VAT Code Type the VAT Code here, if applicable
-
- 4.4 VAT Codes
-
- If you are using Financial Accounts to help you run a business, you may
- want to make use of its VAT options. If this is the case, click on the VAT
- icon and the set up window will appear. Select add or edit as appropriate.
-
- You will be asked for the following:
-
- VAT Reference Type the reference of the VAT, eg Standard Rate
- VAT Code Type the code that suits the reference, eg SR for the above
- VAT % Type in the percentage amount, eg 17.50
-
- 5 ENTERING DATA
-
- 5.1 Transactions
-
- To enter transactions, you must have an account open and a month of that
- account open. Also make sure that the data display window is in transaction
- mode.
-
- Click on the add icon, or if you want to edit a transaction, select it and
- click on the edit icon. The editor window should then appear.
-
- You will be asked for the following:
-
- Date The date of the transaction (the year selection is automatic)
- Make sure the date format corresponds to the date format
- selected in the system preferences.
- Reference The reference of the transaction, ie Printer Paper
- Type Enter a transaction type relevant to the transaction
- Marker Enter a marker relevant to the transaction (Optional)
- Debit If the transaction is expenditure, enter the amount here
- Credit If the transaction is income, enter the amount here
- VAT Code Enter a VAT code relevant to the transaction (Optional)
- Cheque No. Enter the cheque number, if applicable

- When the transaction type is entered, if the transaction type has been given
- a VAT code, it will be automatically placed in the VAT code enterbox.
-
- 5.2 Budget
-
- To enter budget entries, change the data display window to budget mode and
- click on the add or edit icon as appropriate. The edit window should then
- appear.
-
- You will be asked for the following:
-
- Type The income/expenditure transaction type you are budgeting
- Acc Code The account code you are budgeting, or enter ** for all
- accounts.
-
- There are another 12 enterboxes, asking for the budget for each month.
-
- There are some additional icons in this window:
-
- Replicate Clicking this icon duplicates the value in the current data
- box over the remaining months.
- Calculate This icon opens the budget calculator window.
-
- There is also a cyclebox which either says "Income" or "Expenditure". To
- flip between the two, just click on the cyclebox.
-
- 5.3 Regular Transactions
-
- With Financial Accounts, you can set up regular transactions (direct debits).
- To do so, put the data display window in regular transaction mode. Then
- click on the add or edit icon as appropriate and the edit window should then
- appear.
-
- You will be asked for the following:
-
- Start Date Start date of transaction
- End Date End date of transaction
- Frequency Frequency in days, months or weeks
- From Account the transaction comes from
- To Account the transaction goes to
- Reference Reference given to the transaction
- Type Transaction type given to the transaction
- Marker Marker given to the transaction
- Debit The debit amount
- Credit The credit amount
- VAT Code VAT Code given to the transaction

- Since V1.30, the Apply button actually updates the regular transactions
- according to the system date, instead of just writing the transactions from
- the start date to the end date. This means that people without battery
- backed clocks (well done Commodore, NOT!) then the system date will have to
- be updated to the present day for the regular transactions to work properly.
-
- Please note that when you load a file that has regular transactions already
- entered, they will all automatically be `applied' so the accounts are updated
- to the present day. When this happens, make sure you save the file after
- it is finished with so that Financial Accounts knows when the account data
- files were last updated.
-
- 5.4 Investments
-
- If you like investing money, then here's are good place to keep track of it
- all. Make sure the data display window is in investments mode. Click on
- the add or edit icon as appropriate. The edit window should then appear.
-
- You will then be asked the following:
-
- Reference The name of the investment
- Unit Price The current value of each unit
- Quantity The number of items you own
-
- 6 LISTING REPORTS
-
- When you select a report to list, a report options window will appear. From
- here you can select where to output the report to, the screen or the printer.
- On some reports you can also select whether to report on only the currently
- open account, or all of the accounts. All of the following reports are
- obtained from the "Reports Menu".
-
- 6.1 Markers List of markers
- 6.2 Transaction Types List of transaction types
- 6.3 VAT Codes List of vat codes
- 6.4 Budget List of budget
- 6.5 Regular Transactions List of regular transactions
-
- 6.6 Account Summary
-
- This report gives a list of accounts, including its number, the number of
- transactions it currently contains and its current balance.
-
- 6.7 Account Statement
-
- List all manual transactions in date order, in the form of a bank statement.
-
- 6.8 Income & Expenditure
-
- This report lists all income and expenditure transaction types with its
- totals.
-
- 6.9 Budget Progress
-
- This reports shows actual figures against budgeted income & expenditure.
-
- 6.10 VAT
-
- This report lists all the manual transactions in date order, showing the net
- value, the VAT elements and the gross value.
-
- 6.11 Portfolio
-
- This report lists all the investments and their current value.
-
- 6.12 Networth
-
- This reports lists all your assets (accounts in credit and investments) and
- liabilities (accounts in debit). The total assets and liabilities are
- shown at the end with your networth.
-
- 7 PREFERENCES
-
- To set the following preferences, select "Preferences" from the system menu.
- When you have altered any of the following preference, select "Save Config"
- from the "System" menu to save the changes.
-
- 7.1 Autoload
-
- Financial Accounts can be made to automatically load a file when it is first
- loaded. To switch auto loading on, click on the AutoLoad tickbox and enter
- the path and file name in the enterbox, or use the file requester by clicking
- on the "File" icon.
-
- 7.2 Autosave
-
- Financial Accounts can be made to automatically save the currently open file
- every set number of minutes. To switch auto saving on, click on the AutoSave
- tickbox and set the required number of minutes.
-
- 7.3 Confirm Deletes
-
- If you want to be asked if your sure about deleting an entry, then turn on
- this option by clicking on the Confirm Deletes tickbox.
-
- 7.4 Auto Update Entries
-
- When you change a code used in the set up, eg a transaction type code, it is
- a real pain looking through all your entries, replacing the old code with
- the new one. Financial Accounts however has the option of automatically
- updating all your entries and changing the codes accordingly.
-
- To switch this option on, click on the "Auto Update Entries..." tickbox.
-
- 7.5 Date Format
-
- In some areas of the world, the date format differs slightly. Financial
- Accounts gives you two options: DD/MM/YYYY, or MM/DD/YYYY. The dates that
- have already been entered are automatically displayed in the selected format.
-
- 8 PRINTER SET UP
-
- The printer set up window can be opened by selecting "Printer Set Up" from
- the "System" menu. Remember to save any changes by selecting "Save Config"
- from the "System" menu.
-
- 8.1 Page Set Up
-
- For the page set up, you are given four options:
-
- Page length Sets the maximum number of lines that can be printed
- Page width Sets the maximum number of columns that can be printed
- Top margin Sets the number of lines to skip at the start of the page
- Bottom margin Sets the number of lines to skip at the end of the page
-
- 8.2 Paper Type
-
- You can choose from three different paper types:
-
- Single sheets This sends data one page at a time
- Sheet feeder If you have a sheet feeder, use this
- Continuous If you have continuous paper, the title of the report is
- skipped at the top of each page, but the page number remains.
-
- 8.3 Reset Printer
-
- Sometimes the current settings on the printer need to be reset before the
- options entered in the financial accounts printer set up window can work
- properly. Its main use is to reset the settings sent by the workbench
- printer prefs. Use this if you have problems, it may help.
-
- 8.4 Auto Elite
-
- Some of the reports are wider than the standard maximum of 80 columns. When
- this is the case, most printers can be set to elite mode, or higher, which
- essentially reduces the text size and therefore can have more columns. Elite
- mode normally gives 12 cpi, ie 96 characters. This option automatically
- switches elite mode on, though it may not work on some printers, so you'll
- have to do it manually. Read the printers instruction manual on how to do
- this.

- 9 MISCELLANEOUS
-
- 9.1 Rename A Project File
-
- This is used to properly rename a project file. Select "Rename A Project
- File" from the project menu. When you have selected a project name, a
- window will appear with the project name, excluding the .FA suffix. Rename
- the project as required, remember not to put .FA on the end, this will be
- done automatically. Then hit return, and the project will be renamed.
-
- NOTE: If you rename a project that is currently opened, make sure you
- reload the file you just renamed, because Financial Accounts will try
- to write to a now non-existent file.
-
- 9.2 Rename A DOS File
-
- To rename a dos file, select "Rename A DOS File" from the project menu.
- The file requester will appear asking for you to select a file to rename.
- When you have selected a file name, a window will appear with the original
- file name. Simply edit the file name and hit return and the file will be
- renamed.
-

- 9.3 Delete A DOS File
-
- To delete a dos file, select "Delete A DOS File" from the project menu.
- The file requester will appear asking for you to select a file to delete.
- When you have selected a file, you'll be asked if you are sure, and if
- yes, the file will be deleted.
-
- 9.4 Password Protection
-
- As from version V1.30, a password can be added to your file to stop anyone
- from looking at your file. To set the password, select "Define Password"
- from the project menu. If there is already a password in the file, you will
- be asked for the password before it can be altered.
-
- The password window should now pop up, simply asking for the password and a
- "Case Sensitive" tickbox. When this is off, it means that any case
- discrepencies in the password go unnoticed, ie DOG BREATH = dOg BreATH.
-
- When a file with a password is loaded, you will only be given one chance to
- enter the correct password, else an "Access Denied !" message is displayed.

- 9.5 Account Ecryption
-
- You need not worry about people viewing your account data on a text editor,
- because as from V1.30, all account data is automatically encrypted ! This
- means the account data file will look like a load of rubbish when it is
- viewed on a text editor.

- Please note that only account data and the password is encrypted.

- Financial Accounts is able to multi-task with the workbench. To flip between
- the Workbench and the Financial Accounts screen, press: Left Amiga + A.

- Version 2 will use a proper intuition screen and will multi-task along side
- other workbench programs in the normal manner.

- 9.8 Registering

- Right, now you've had a chance to try out Financial Accounts, now it's time
- to buy the full version ! You may already have become aware that only three
- months after the start of the financial year can be accessed by this
- unregistered version.

- This program has gone through a few changed since the shareware release and
- is now version 1.42 (more info in "History" file).

- As far as I know there aren't any bugs in the program, but if you do come
- across any however, big or small, please tell me immediately !
